Turning On Account Numbers in Quickbooks

Do you need to turn on account numbers in Quickbooks?

If your business is one that needs to use accounts numbers and are wondering why you can see them even though you have entered them for your customers, there is a very simple solution. This isn’t automatically turned on when you enter your information, you need to choose this in your preferences.

To turn on account numbers in QuickBooks, click Edit > Preferences > Accounting > Company Preferences and check the “use account numbers” box, as shown below:

QuickBooks doesn’t assign numbers to your accounts when you set them up through the EasyStep interview. You can assign account numbers yourself in one of two ways:

Let QuickBooks assign a numbering system for you.
Choose your own numbering/lettering system.
In some cases, the use of an account number is really just something that has carried forward from older accounting software that wasn’t able to use account names.

In other cases, the chart of accounts is extensive, with a lot of similar account names. The use of a number in these cases helps to ensure that the entry is being posted to the correct ledger account.

A lot of times it is recommended to use account numbers to avoid mis-postings. As you can see within QuickBooks, the choice is yours on whether to use them or not.

Assign Account Numbers in QuickBooks Online- Instructions

To assign account numbers in QuickBooks Online, you must first enable account numbering in your company file. To do this, click the Gear button. Then click the “Account and Settings” link under the “Your Company” heading in the drop-down menu. Then click the “Advanced” link to the left of the “Account and Settings” page.

To the right, click the “Chart of Accounts” section to edit its settings. Check the “Enable account numbers” checkbox to enable account numbering. To show account numbers in transaction forms and reports, check the “Show account numbers” checkbox. Then click the “Save” button at the bottom of this section to save your changes. Click the “Done” button in the lower-right corner of the window to close it.

To then assign account numbers in QuickBooks Online, click the Gear button. Then click the “Chart of Accounts” link under the “Your Company” heading in the drop-down menu to open the “Chart of Accounts” list.

Click the “Batch edit” button, which looks like a pencil, in the upper-right corner of the “Chart of Accounts” window to open a new page that lets you edit the account names and numbers. Enter or edit the account numbers for your accounts in this page by using the “Number” column. Account numbers in QuickBooks Online Plus can only be up to seven (7) digits long. If desired, you can also edit account names using the “Name” column. When you are finished batch editing the records, click the “Save” button in the upper-right corner of the page to save your changes and close it.

How Come I Can’t See Account Numbers in QuickBooks?

If your business is one that needs accounts numbers for your ledger accounts, you may be wondering why an account number field does not appear in QuickBooks.
