Using the QuickBooks Administrator Password Removal Service

If you forgot your QuickBooks Administrator password for a company file, you can reset it using the QuickBooks Automated Password Removal Service. This is an automated service tool built into the QuickBooks software that will have you perform the following steps:

Note this article applies to resetting the QuickBooks Administrator password only. If you are not the QuickBooks Administrator but you still need to reset your QuickBooks password, please contact your QuickBooks Administrator for assistance.

Before You Begin

Filling out the QuickBooks Administrator Password Reset form requires specific information accurately found in your Intuit Account. Before you begin, it is very important that you log into your Intuit Account at intuit.com and collect the following information:

QuickBooks 15-digit license number
Full name (first and last) of an authorized contact on the account
Email address of the same authorized contact
Business phone number
Zip code
Please record this information exactly as it appears within the Intuit Account. Even if you think you know all the information above, the contact name listed inside your Intuit Account may have a different email address or the account may have been created with a older phone number or zip code. Due to the precision needed for this process, please log into your Intuit Account to obtain all necessary information before attempting to reset the QuickBooks Administrator password. If you try to use any information not explicitly listed in your Intuit Account, it will be rejected later.

Note the Intuit Account is completely unrelated to Harbor Cloud. If you are unable to access your Intuit Account, then click on the I forgot my user ID or password link at the bottom.

To reset your QuickBooks Administrator password, follow the steps below

On the QuickBooks Login screen, enter in Admin as the User Name, leave the Password field blank, and click I forgot my password.

If you created a Challenge Question, then you will be prompted to answer your question for a quick and easy QB admin password reset. If you do not remember the answer to your Challenge Question, then click I forgot my answer.
You will be greeted by the Reset QuickBooks Administrator Password form, which asks for the pieces of information referenced earlier. Fill out the form with all the information exactly as it appears in your Intuit Account and click OK.
You will then be prompted for a Password Reset Code. This will be sent to you from with the email subject, QuickBooks Automated Password Removal Service. Enter the Password Reset Code from that email and click OK.

Follow the instructions thereafter to create a new QuickBooks Administrator password as well as set up a new Challenge Question.

Contact Intuit Support to Further Troubleshoot

The QuickBooks Automated Password Removal Service is not always successful in resetting the QuickBooks Administrator password. If your Intuit Account information or Password Reset Code is rejected or you otherwise encounter odd errors, then please restart QuickBooks completely and try filling out the form again. If you are still unable to reset your QuickBooks Administrator password even after restarting QuickBooks, you will need to contact Intuit Support for further assistance.

Intuit Support will usually ask for information from your Intuit Account before offering assistance. Be sure to have your QuickBooks 15-digit license number as well as the rest of the contact information from your Intuit Account ready before calling Intuit Support.

What If: I forgot my QuickBooks Administrator Password?

Newer versions of QuickBooks offer an ‘in-product’ password reset utility streamlining the process of setting a new Administrator Password in the event you forget it. To use this utility follow these steps:

1. In the Password window, click I forgot my password link.

2. In the Password Challenge window, click the I forgot my answer link.

3. QuickBooks opens the Reset Administrator Password Window; in the fields provided, enter your information provided when QuickBooks was first registered, including your QuickBooks license number, Name (First and Last), Email address, Business telephone number, and Business address Zip code. This information will be validated with the information on file at Intuit.

4. Click the Next button.

If the information matches, you will be sent an email with a Password Reset code (or access token).

5. Enter the Password Reset code (or access token) and click the Next button. I recommend that you copy the code from the email and paste it into the appropriate field. If you submit an invalid code, you will have to start the entire process over.

6. When prompted, enter your new password in the New Password field and then enter it again in the Confirm New Password field.

7. Click the Challenge Question drop-down and select a Challenge Question. Enter your Answer in the Answer field.

8. Click Ok.

Within a few moments, QuickBooks resets the Administrator Password and prompts you to enter it as part of a normal log-in. You can either retain the new password, or change it normally after QuickBooks opens. If Credit Card Protections are in-force, you will normally be prompted to change the Password again using the standard process for changing the password under the Admin login.

How to Reset Password for QuickBooks Admin and other Users?

Important password tips to remember

The password doesn’t contain spaces. Re-enter the password without spaces.
When you create new passwords. Then you need to make a complex password. So you can follow some instructions: at least 7 characters (letters, numbers, special characters), at least 1 number, at least one uppercase letter.
Your keyboard might not be functioning correctly.
You may be seeing an incorrect login screen. A login screen that asks for a password but does not ask for a username is the administrator’s login screen and you have a non-admin login, close QuickBooks, and then reopen it.
The password may actually be blank. Some users choose to leave the Admin password to their data file empty, or blank.
Note: Intuit does not recommend this practice, for security reasons. Then press OK in the login screen without entering a password.

Change the Password in QuickBooks

At first, open the company files then select the Company> Set Up Users and Password.
Enter your current password in the current password field.
Now, you need to enter the new password in the Confirm new password field.
Click OK.
You have forgotten or lost your password.
There are two ways to reset your lost or forgotten password:

Reset password using your security question.

You see the login screen in the QuickBooks desktop, Select I forgot my password.
Answer the security question and click OK.
Just press on Close when you see this message: “ When you removed the password and challenge answer and the question then your company file is no longer password-protected. When you nearby this window, then you create a new password and select and answer your challenge question.”
Open the window then change the QuickBooks password.
Then enter a new password and new challenge question.
Press on OK.
Then your File will open.

Reset Admin password using a reset code( Admin only)

Firstly, Login into the company file as the administrator.
Go to the Company menu, select the user whose password you want to change.
Now, select Edit User.
Enter the new password in the password field and confirm password field.
And finally, click Next twice and then click Finish.
